Position Title: Compliance System Administrator   

Reports to: Workforce Development & Industrial Participation / Systems and Compliance Manager
Location: Project Office - Collingwood

Position Summary

The Compliance System Administrator will coordinate the compliance of all competency records for all direct-employ and sub-contractor workforce engaged on the Project. Working closely with the Workforce Development and Industry Participation (WDIP) Manager and the WDIP Team, you will have outstanding attention to detail and be deadline-driven.
The role at times may require out of normal hours support for critical works and Occupations works. The role offers a flexible working arrangement approved by Alliance Health & Safety Manager.

Responsibilities

General
  • Support the facilitation of Project Inductions 3D Safety, RIW & Damstra.
  • Process 3D Safety Site induction Bookings, ensuring compliance with M80RRA requirements.
  • Liaise with relevant personnel to facilitate efficient onboarding of all relevant M80RRA employees (NOPS) and subcontractors.
Operational Responsibilities
  • Onboarding direct-employ new starters into the M80RRA competency management system
  • Assisting and liaising with sub-contractor administrators to establish company profiles and onboard new starters into the M80RRA competency management system
  • Verifying evidence of competency and currency
  • Providing advice regarding competency requirements for all M80RRA roles
  • Providing notification of expiring competencies and licences
  • Printing and issuing site access cards 
  • General administrative tasks as required.
  • Approval of Verification of Competency – Check RII certification, certificate of attainment, RIW Role identified, ensure  VOC process compliance.
  • Liaising with People & Capability team to verifying New Starter requests 
  • Support Health and Safety team across multiple workplaces to implement, maintain and administer compliance systems and records inclusive of 3D Safety, Rail Industry Workers Card, Verification of Competency, and other records as required. 
  • Monitor Inductions mailbox and respond to queries.
  • Reviewing incoming induction requests and documentation from Subcontractors within 3D Safety, verify, reject, or approve documents and uploads
  • Cat 3 Medical upload via service request 
  • RIW Initial Subscription / RIW Renewal Subscriptions
  • Training bookings (TTSA/MCSR/SWIRC/Whitecard)
  • Certificates uploaded to RIW and / or 3D Safety at the completion of training.
  • Provide support with backend access to 3DSafety for mobile and APP access.
  • Run 3DSafety reports as requested.    

Key Requirements

  • Experience populating and maintaining online competency management records, onboarding documentation, and competency matrices

  • Experience working in the infrastructure or commercial construction industry sectors
  • Excellent interpersonal skills
  • The ability to prioritize, multi-task and meet strict deadlines in a fast-paced environment
  • Able to work well both independently and collaboratively

Minimum Qualifications & Skills:

  • Training and Assessment Cert IV (Desirable)
  • General Construction Induction (White) Card (Essential)
Minimum Experience:
  • Competency System Management experience (Desirable)
  • Competency with Microsoft Word and lor other systems
