Position Description
The Facility Officer provides operational and administrative support to the Facilities team to ensure organisational sites are safe, functional and well maintained.
The role supports the Facility Manager and broader team by coordinating service requests, engaging contractors, assisting with maintenance activities and managing facilities administration. The position plays an important role in maintaining service standards, supporting compliance requirements and delivering a positive customer experience across sites.

Key Responsibilities
Facilities Administration & Coordination
  • Assist with coordinating and scheduling contractors for maintenance and facilities services
  • Maintain facilities documentation, records and reporting in line with organisational standards
  • Process purchase orders, invoices and financial transactions within systems
  • Support tracking of facilities expenditure and budget monitoring
Service Requests & Customer Support
  • Receive, log and prioritise facilities service requests
  • Coordinate service delivery with contractors and monitor progress against service levels
  • Provide clear communication to internal customers on request status and completion
  • Record customer feedback and complaints in line with procedures
Maintenance & Site Support
  • Undertake or coordinate basic preventative and reactive maintenance tasks
  • Assist with physical onsite requirements including room setups, relocations and signage
  • Identify maintenance issues and escalate where contractor involvement is required
  • Respond to urgent site issues or alarms when required

Health, Safety & Compliance
  • Identify and report workplace hazards in line with safety procedures
  • Support completion of safety reporting and compliance documentation
  • Assist with ensuring contractors meet induction, licensing and permit requirements

Security & Access Support
  • Support issuing, updating and revoking site access for staff and contractors
  • Assist with authorised CCTV review activities where required

General Support
  • Assist with fleet or vehicle coordination where required
  • Provide general administrative support to the Facilities team
  • Support after-hours response to business critical issues when required

Qualifications & Experience
  • Demonstrated experience providing administrative or operational support in a facilities, property or service environment
  • Experience working with internal stakeholders and service providers
  • Basic understanding of workplace health and safety requirements
  • Ability to use standard IT systems including Microsoft Office
  • Basic maintenance or handyman skills (advantageous)
